Software project management – so things get delivered.

Your software project has a team, a budget and a deadline – but nobody holding all three together? We take over project management for software development projects: requirements and backlog, steering your in-house team or external agency, quality assurance and honest reporting. The difference: we build software ourselves – and are not impressed by inflated estimates or “that’s not possible”.

Technical peer

We read code, understand architecture and can tell whether an estimate has substance – vendors notice in the first meeting.

Team or agency

We manage your in-house development as well as external agencies and nearshore teams – or both together.

Part-time works

Many projects don’t need a full-time lead: 1–3 days per week are often enough to secure pace and quality.

01 — Starting Point

Why software projects fail.

The patterns repeat – we know them from our own projects and from rescue cases we have taken over:

Vague requirements, expensive surprises

What starts as “we’ll clarify that during the sprint” ends as a debate about extra charges. Without a solid backlog the team builds fast – just not the right thing.

The agency is a black box

You get what you get. Progress updates are shallow demos, and whether the code is maintainable only becomes visible when you switch vendors.

No technical counterpart

Nobody in-house can evaluate estimates, architecture decisions or technology choices. Whoever can’t push back pays any price.

Quality only shows at the end

Without a test concept and acceptance criteria, defects surface when users find them – at the most expensive moment.

The deadline slips slice by slice

Two weeks here, one sprint there – without rigorous schedule and risk management, the delay only becomes visible when it can no longer be recovered.

Stakeholders pull in different directions

Business, management and IT each have a different project in mind. Without clear prioritisation the team gets ground down between them.

02 — Services

What our project management covers.

We take on the role your project is missing – from requirements management to acceptance:

  • Requirements & backlog – Translate goals into buildable requirements, prioritise and describe them so developers can implement them – without room for interpretation in the expensive places.
  • Vendor & team management – Manage sprints, milestones, dependencies and capacity – for in-house development, external agencies or mixed teams.
  • Architecture & code reviews – Spot-check reviews of architecture and code quality – so maintainability isn’t a promise but something that gets verified.
  • Quality assurance & acceptance – Test concept, acceptance criteria and structured sign-offs – defects are found before they reach production.
  • Budget & schedule control – Track effort against progress, name risks early, prepare decisions – no traffic-light cosmetics.
  • Stakeholder communication – One status for everyone: management, business and development verifiably work on the same project.

Your project delivers demos instead of results?

When the deadline slips slice by slice and nobody truly steers the agency, the right moment is now – not after the next sprint. Often 1–3 days of steering per week are enough.

03 — Process

How the collaboration works.

Whether at project start or taking over mid-flight – the entry is the same: understand first, then steer.

Initial conversation & goals

Understand the initiative, status, team and bottlenecks – and honestly assess what the project needs.

Review & assessment

Examine backlog, plans, codebase and contracts. Result: a clear statement of where the project really stands.

Define role & scope

Capacity (days per week), responsibilities and goals – transparent in the proposal.

Take over the steering

Backlog, deadlines, quality and reporting now run through one head – with visible progress for everyone.

Handover

Structures and documentation in place, an internal successor onboarded – the project keeps running without us.

Project lead vacant – or never properly filled?

Whether your project is just starting or needs a head mid-flight: in an initial conversation you’ll get an honest assessment of role, capacity and availability.

04 — FAQ

Frequently asked questions about software project management.

Do you work agile or classic?

We usually run software development agile (Scrum or Kanban), embedded in a clear frame of milestones and budget – management needs dates, the team needs focus. Both together isn’t a contradiction, it’s craft.

Can you manage our external agency?

Yes – that is one of the most common engagements. We evaluate proposals and estimates, demand traceable progress and verify quality. Collaboration with the agency usually gets better, not worse: clear requirements save their time too.

Is part-time project management enough?

Often, yes. Many mid-market projects don’t need a full-time role but consistent steering in the right places – typically 1–3 days per week. We clarify the actual need in the initial conversation.

How technical are you really?

We develop ourselves – web, mobile (Flutter), desktop and integrations – and run our own products. We conduct code reviews and architecture discussions from practice, not from the textbook.

Do you also take on the product owner role?

Yes, where it fits: prioritising requirements, maintaining the backlog, running acceptance. A clear boundary matters – business decisions stay with you; we prepare and enforce them.

What does external project management for software projects cost?

We bill by daily rate and agreed capacity. After the initial conversation you receive a proposal with role, scope and duration – transparently calculated and cancellable at any time if we don’t deliver.
